Manage individual access to your items via a local partner

This article describes the basic actions to manage your accounts, secrets, and collections via your local partner.

Who can use this feature?

  • Only supported using the Cerby web app

As a Host Admin, Guest Admin, or Guest User with the Owner role on an item, you can share individual access to your accounts, secrets, and collections with other guest members.

IMPORTANT: When you share accounts, secrets, and collections individually with guest members, you can only assign them the Collaborator role.

This article describes how to perform management tasks for the following items:

Accounts

For Accounts, you can perform the following management tasks:

Share an account with a local partner

Any workspace member who is an account Owner can share their accounts individually with specific guest users from a local partner. To share an account, you must access the All Accounts view of your dashboard.

IMPORTANT: You must know the email of the guest member with whom you will share the account.

See the guest members with access to your accounts

As a Host Admin, Guest Admin, or Guest User, you can see the guest members with access to your accounts. As a Host Admin, you can also see the guest users with access to the shared accounts in which you have the Owner role.

To see the guest members with access to an account, you must complete the following steps:

  1. Log in to your corresponding Cerby workspace.

  2. Click the All accounts option from the left navigation drawer. The All accounts view is displayed. In this view, you can see the accounts shared with you and the accounts you have created.

  3. Hover over the account card to see the account menu.

  4. Click the More options (...) icon. A drop-down list is displayed.

  5. Select the View Members option. The account details page with the member list is displayed.

  6. Activate the Guest users tab to see the guests with shared access to your account. The list of members with access to the account is displayed.

Now you are done. The guest user list contains information such as their names, email addresses, roles, and more.

See the guest members’ activity in an account

As a Host Admin, Guest Admin, or Guest User, you can see the user activity of your accounts. As a Host Admin, you can also see the user activity of the accounts others shared with you with the Owner role.

To see the guest members' activity in an account, you must complete the following steps:

  1. Log in to your corresponding Cerby workspace.

  2. Click the All accounts option from the left navigation drawer. The All accounts view is displayed.

  3. Hover over the account card to see the account menu.

  4. Click the More options (...) icon. A drop-down list is displayed.

  5. Select the View activity option. The Activity page is displayed. On this page, you can see information about the user activity in the account.

Now you are done. On the Activity page, you can see the events related to the account, the time when they happened, the app through which they occurred, and the users who performed them.

Remove local partner access to an account

As a Host Admin, Guest Admin, or Guest User, you can remove local partner access to your accounts. As a Host Admin and Guest Admin, you can also remove access to shared accounts.

To remove local partner access to an account, you must complete the following steps:

  1. Log in to your corresponding Cerby workspace.

  2. Select the Partners option from the left navigation drawer. The Partners view is displayed.

  3. Select the name of your partner. The partner’s information and the account list are displayed.

  4. Click the More options () icon next to the account information. A drop-down list is displayed.

  5. Select the Remove account option. The Remove account? dialog box is displayed.

  6. Click the Remove account button. The dialog box closes, and a success message box is displayed.

Now you are done. You have successfully removed local partner access to an account.


Secrets

For Secrets, you can perform the following management tasks:

  • Share a secret with a local partner

  • See the guest members with access to your secrets

  • Remove local partner access to a secret

The following sections describe each task.

Share a secret with a local partner

Any workspace member who is a secret owner can share their secrets individually with specific guest users from a local partner. To share a secret, you must access the Secrets view of your dashboard.

IMPORTANT: You must know the email of the guest member with whom you will share the secret.

Read the Manage access to your secrets and secret items article for instructions on how to share secrets.

See the guest members with access to your secrets

As a Host Admin, Guest Admin, or Guest User, you can view the guest members with access to your secrets. As a Host Admin, you can also see the guest members with access to the secrets shared with you with the Owner role.

To see the guest members with access to a secret, you must complete the following steps:

  1. Log in to your corresponding Cerby workspace.

  2. Click the Secrets option from the left navigation drawer. The Secrets view is displayed. In this view, you can see the secrets shared with you and the secrets you have created.

  3. Hover over the secret card to see the secret menu.

  4. Click the More options () icon. A drop-down list is displayed.

  5. Select the View Members option. The secret details page with the member list is displayed.

  6. Activate the Guest users tab to see the guests with access to your secret.

Now you are done. The Guest User list contains information such as their names, email addresses, roles, and more.

Remove local partner access to a secret

As a Host Admin or Guest Admin, you can remove access to secrets. As a Guest User, you can remove access to your secrets only.

To remove access to a secret, you must complete the following steps:

  1. Log in to your corresponding Cerby workspace.

  2. Click the Secrets option from the left navigation drawer. The Secrets view is displayed.

  3. Hover over the secret card to see the secret menu.

  4. Click the More options () icon. A drop-down list is displayed.

  5. Select the View Members option. The secret details page with the member list is displayed.

  6. Activate the Guest users tab to see the guests with access to your secret.

  7. Click the More options () icon on the right side of the guest user information. A drop-down list is displayed.

  8. Select the Remove from secret option. The Remove access? dialog box is displayed.

  9. Click the Remove access button. The dialog box closes, and a success message box is displayed.

Now you are done. You have successfully removed local partner access to a secret.


Collections

For Collections, you can perform the following management tasks:

Share a collection with a local partner

Any workspace member who is a collection owner can share their collections individually with specific guest users from a local partner. To share a collection, you must access the Collections view of your dashboard.

IMPORTANT: You must know the email of the guest member with whom you will share the collection.

See the guest members with access to your collections

As a Host Admin, Guest Admin, or Guest User, you can view the guest members with access to your collections. As a Host Admin, you can also see the guest members with access to the shared collections with you with the Owner role.

To see the guest members with access to a collection, you must complete the following steps:

  1. Log in to your corresponding Cerby workspace.

  2. Click the Collections option from the left navigation drawer. The Collections view is displayed. In this view, you can see the collections shared with you and the collections you have created.

  3. Click the Settings icon from the corresponding collection card. A drop-down list is displayed.

  4. Select the Collection Settings option. The collection details page is displayed.

  5. Activate the Members tab. The list of workspace members with access to your collection is displayed.

  6. Activate the Guest users tab to see the guests with access to your collection.

Now you are done. The guest users list contains information such as their names, email addresses, roles, and more.

Remove local partner access to a collection

As a Host Admin and Guest Admin, you can remove local partner access to a collection. As a Guest User, you can remove access to your collections only.

To remove access to a collection, you must complete the following steps:

  1. Log in to your corresponding Cerby workspace.

  2. Click the Collections option from the left navigation drawer. The Collections view is displayed.

  3. Click the Settings icon from the corresponding collection card. A menu is displayed.

  4. Select the Collection Settings option. The collection details page is displayed with the General tab activated.

  5. Activate the Members tab. The list of the workspace members with access to the collection is displayed.

  6. Activate the Guest users tab to see the guests with access to your collection.

  7. Click the More options (...) icon on the right side of the guest user’s information. A drop-down list is displayed.

  8. Select the Remove from this collection option. The Are you sure? dialog box is displayed.

  9. Click the Remove from collection button. The dialog box closes, and a success message box is displayed.

Now you are done. You have successfully removed user access to a collection.
